How to respond to negative reviews

- Thank them for the feedback, sincerely and briefly.
- Acknowledge the specific problem without getting defensive.
- Apologize for their experience, even if you disagree on the details.
- Move the conversation offline by inviting them to contact you directly.
- Keep it short. Two or three sentences is plenty.
Example: a service complaint
"Hi Tom, thank you for letting us know — I'm sorry your appointment ran late, that's not the experience we want. I'd like to make it right. Could you email me at owner@example.com so I can look into what happened? — Dana, Owner"
Example: a complaint you disagree with
"Hi Alex, I appreciate you sharing this. Our records show the work was completed as quoted, but clearly we didn't leave you feeling that way, and I'd genuinely like to understand where we fell short. Please reach me at owner@example.com. — Dana"
Notice that even when you push back, you stay warm and you take it offline. You're never trying to win the argument in public.
Mistakes that make it worse
- Arguing the facts point by point in the reply.
- Blaming the customer or questioning whether they were really a customer.
- Posting a long, defensive wall of text.
- Sharing private details about their visit or account.
- Replying while you're still angry. Wait an hour.
